Associate Coordinator

This is a full-time position

This position will be a key member of the planning team for events in this very busy, fast paced and cool event space reporting to the Event Director & Owner

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Work as member of a team to design, plan and execute many events simultaneously

  • Schedule and attend client and vendor meetings

  • Key team member to help plan weddings as well as corporate and social events

  • Ability to work a flexible schedule including evenings, weekends and some holidays as required

  • Required to be on-site for all weddings/events as assigned.

  • Represent Graystone Quarry at a variety of bridal and event marketing opportunities.

  • Represent and deliver excellent customer service in keeping with Graystone Quarry’s brand.

  • Interact directly with clients and vendors

  • Event set up and clean up

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • 2+ years related experience in events, venue experience a plus

  • Computer knowledge necessary

  • Industry knowledge/experience

  • Bachelor’s Degree or equivalent is a plus

  • Exhibits excellent written and oral communications, interpersonal skills and planning, organizational skills

  • Appearance guidelines: No visible tattoos, facial piercings, or unnaturally colored hair


Floral Design Assistant

$12 per hour DOE

This position is one day a week, ideally Thursdays.

This position will assist the on site Floral Designer for events in this very busy, fast paced and cool event space.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Receiving flowers and interacting with vendors

  • Preparing Flowers

  • Creating Arrangements

  • Cleaning and maintaining prep space

  • Setting Up an Event

  • Assisting with extra event projects as needed

Minimum Qualifications

  • Floral experience preferred


Event Associate

$13+ per hour DOE

Part time event support on event days.

It is the primary responsibility of the Seasonal Event Associate to support the Graystone Quarry event team during weddings and other events. Tasks include set-up, event support, tear down, and resetting for the next event.

  • Perform event-related set-up tasks as needed.

  • Assist with flow of the night (Some floral support, light candles, help guests in from cocktail hour, assist with dinner dismissal, get sparklers and other event supplies ready throughout the evening)

  • Perform event-related tear down tasks including strike and on-site disassembly of props, florals, linen and decor, loading/unloading, return delivery/pick up, and restocking.

  • Adhere to property and security procedures and policies.

  • Properly pack and handle inventory to protect against damage and deterioration.

  • Light cleaning in preparation for janitorial team. Run dishwasher as needed.

  • Requires lifting (up to 30 lbs).

  • Perform other job related duties as assigned.

Required:

  • Have interpersonal skills and cheerful attitude to deal effectively with all business contacts.

  • Work varied shifts, including weekends and holidays.

  • Able to effectively communicate in English, in both written and oral forms.

  • Must be at least 18 with no criminal history.

  • Appearance guidelines: No visible tattoos, facial piercings, or unnaturally colored hair.

Event Set Up & Tear Down Crew

$12+ per hour DOE

Part time, mostly weekend late nights, as needed to support events

It is the primary responsibility of the Event Crew to perform event-related set-up and tear down tasks, including on-site handing of décor, loading/unloading and pick-up/deliver, cleaning, pulling and restocking props, rental returns, and light facility cleaning.

  • Perform event-related set-up tasks including pulling any necessary items, loading/unloading, and delivery/pick-up and assist in set-up as needed.

  • Perform event-related tear down tasks including strike and on-site disassembly of props, florals, linen and decor, loading/unloading, return delivery/pick up, and restocking.

  • Ensure that event facility/venue is left in a clean and orderly condition.

  • Confirm that all tools and equipment are returned and properly stored after installation/strike.

  • Adhere to property and security procedures and policies.

  • Properly pack and handle inventory to protect against damage and deterioration.

  • Set up or tear down tables, chairs, décor and other furnishings according to detailed diagrams

  • Light cleaning in preparation for janitorial team. Run dishwasher as needed.

  • Requires heavy lifting (up to 50 lbs).

  • Perform other job related duties as assigned.

Required:

  • Have interpersonal skills and cheerful attitude to deal effectively with all business contacts.

  • Work varied shifts, including weekends and holidays.

  • Able to effectively communicate in English, in both written and oral forms.

  • Must be at least 18 with no criminal history.

Preferred:

  • At least 1 year experience in events, warehouse, furniture and/or general laborer.
